Event Details

Calling all Cosplayers and photogs! ASAPA recognizes that Cosplay is a huge part of the community, and it is always hard to find great locations to take a photo of your costumes. So here it is! We would like to present to you, the "Cosplay Photo Shoot Gathering" at the Santa Maria (the pirate ship) in West Edmonton Mall! The Pirate Ship will be decorated so it is perfect for the Holiday Season.

There will be several timeslots available for you to choose from. All sessions are 45 minutes long. You are allowed up to 10 people max (Including Photographers, Cosplayers, and their helpers) for your session. Each session will cost $60 + fees. 

 

ASAPA Community Photoshoot General Policies

1. DEFINITIONS

  • 1.1 ASAPA refers to the not-for-profit society The Alberta Society for Asian Popular Arts.
  • 1.2 EVENT refers to all events organized and operated by ASAPA.
  • 1.3 COSPLAY is the act of dressing up and/or roleplaying (typically) as a fictional character.
  • 1.4 PASS is a proof of admission used by the EVENT. Typically, this is a wristband or badge.
  • 1.5 VENUE refers to all locations and facilities at which the EVENT takes place.
  • 1.6 STAFF refers to volunteers who help ASAPA operate the EVENT.
  • 1.7 PATRON is one who is attending the EVENT and has a valid PASS.
  • 1.8 PHOTOGRAPHER is one who is attending the EVENT and has a valid PASS, and is also tasked with taking photos of PATRON

Additional policies that are particular to this EVENT:

  • No refunds
  • No alcohol
  • 10 people per time slot maximum including photographer(s) and assistant(s) 
  • It is the responsibility of PATRON to fill their time slot with participants
  • It is the responsibility of PATRON to collect fees from PATRONS in the same group if sharing the cost
  • 1 time slot is permitted per group to ensure fair opportunity for everyone
  • PATRON may join a different group for a different photoshoot, but no single group of PATRON may reserve more than 1 time slot for the same photoshoot.
  • It is the responsibility of PATRON to arrange for a PHOTOGRAPHER 
  • It is the responsibility of PATRON and PHOTOGRAPHER to agree to a cost, if any, for the services that will be provided at the EVENT and the products to be received after the EVENT
  • It is the responsibility of PATRON and PHOTOGRAPHER to agree on a turn around time for photos taken at EVENT and its method of delivery
  • PATRON assumes responsibility for equipment, props, and decorations used at the EVENT. ASAPA bears no responsibility for any loss or damages. 
  • PATRON may solicit once per week on ASAPA’s social media for group members and for PHOTOGRAPHER, with no post bumps between weeks
  • PHOTOGRAPHER may solicit once per week on ASAPA’s social media to offer their photography services, and their pricing upon request if applicable, with no post bumps between weeks

Additional Policies particular to this VENUE (Santa Maria WEM)

  • No outside food or beverage permitted.
  • PATRONS may use the main deck of the ship only. Please note: the floor on the main deck is uneven.
  • If PATRONS have items to bring on the ship, please note that no dollies/trollies are available for the Santa Maria.
  • The ship is NOT wheelchair accessible.
  • The following items are not permitted: flame torches, candles, rice, birdseed, confetti, silly string, balloons and piñatas.
  • There are no electrical outlets available on the VENUE
  • Each group will be asked to sign a Media Release as per VENUE request prior to the EVENT. 
  • Photos taken at this event may not be sold for profit afterwards as per media release agreement with VENUE. 
  • Please check with STAFF as to what types of photography equipment are allowed at VENUE.

Etiquette:

  • Please arrive early and be ready in your COSPLAY for your designated time slot
  • Neither ASAPA nor VENUE will be providing dedicated changing areas or storage areas for this EVENT
  • All photoshoot activities involved for each group must take place within the allotted time for the session. This includes setup, shooting, teardown, and cleanup.
  • STAFF will issue reminders of 20 minutes and 10 minutes prior to the end of the session.
  • Please clean up the VENUE before you leave
  • Please do not loiter in the VENUE area before and/or after your time slot
  • TIP: If meeting up with PATRON of a different group, set a time and location to meet away from the VENUE
  • Please respect and follow directions given by VENUE and STAFF even when outside your designated time slot while you are still in the VENUE area

The Alberta Society for Asian Popular Arts (ASAPA) is a not-for-profit society formed under the Societies Act of Alberta in April of 2004, it operates with seven representatives elected from the core membership body. Our mandate is to promote Asian popular arts with our main focus on Japanese pop culture.
