VCON Relaxicon 41½ - October 28/29, 2017

VCON is the oldest general-interest science fiction, fantasy and gaming convention in Canada and the Pacific Northwest. The convention has promoted the interests of science fiction and fantasy culture in Vancouver BC and its environs since 1971, offering events and exhibits focused on a variety of Science Fiction and Fantasy fandom interest areas such as literature, art, media, music, costumes, comics, tabletop games, electronic games, etc.

VCON 41½ is a "Relaxicon"

On October 28/29, 2017, The West Coast Science Fiction Association (WCSFA) will host VCON Relaxicon 41½, a 2-day event with a smaller function space than the regular, 3-day VCON events, but still with its usual friendly, comfortable, social atmosphere. VCON is entirely volunteer organized with a core group of people who have worked on it year after year after year with little opportunity to fully enjoy the event themselves. WCSFA's goal this year is to give everyone more time to relax and enjoy the community that we’ve all worked so hard to build. The event should still include most of the things that VCON is known for - guests, panels, writing, art, cosplay, gaming, hospitality, and (of course) room parties - just a bit less of it than is our norm.

We hope that, whether you have enjoyed VCON in the past or have never attended before, you will consider joining us to relax and chill with your fellow fans and local genre professionals.

Note: VCON 42 will happen, with its regular 3-day duration and size, but in October 2018. It will also be combined with Canvention 38, the annual, moving convention of the Canadian Science Fiction and Fantasy Association (CSFFA) where the Aurora Awards, for excellence in Canadian genre writing, art, performance and events, are awarded.

Even if you live locally, with VCON Relaxicon 41½ starting at 10 am on Saturday, booking a room for Friday night means you can sleep until 9 am Saturday, grab some food at the breakfast buffet (at 10% off for ALL attendees), and still start celebrating fandom the very minute the event opens, while with programming until late, Hospitality open until 2 am, and games running all night, booking one for Saturday night ensures you have a private place to catch some shut-eye, or at least take a shower and put on some fresh clothes before breakfast Sunday morning!

NOTE: Cut-off Date for reserving rooms at the convention rate is 5:00 PM PDT, Tuesday, 03 October 2017.

Room Rates (up to double occupancy) are as follows:

  • $125 - Traditional Room with 2 Queens or 1 King + Pullout
  • $145 - Traditional Corner Room with 1 King
  • $165 - Club Room with 1 King + Pullout
    A Club room has the same layout as a traditional room but includes access to the Sheraton Club Lounge which provides a free continental breakfast and afternoon snacks.

For triple and quad occupancy, add an $20 per additional person.

All rooms include:

VCON is presented by the West Coast Science Fiction Association — a non-profit organization dedicated to the advancement and understanding of science fiction, fantasy and gaming fan culture in the Vancouver metro region. VCON is organized by a WCSFA subcommittee and is not, nor will it ever be, owned by a big business or corporation. For now and for as long as efforts continue VCON will be a convention built "For the Fans, By the Fans".

What's all this about buying a membership?

WCSFA, as a 100% volunteer run organization, sells memberships to its major events (such as VCON) rather than tickets. Each event membership purchased represents a support commitment towards the operational costs that must be met for the association to successfully host that event. Approximately 80% of the income for each event comes directly from these membership fees.

Every member of one of WCSFA's major events is also a member of WCSFA itself, with $5 of the event membership fee going to support WCSFA directly. Every WCSFA member age 13 or older is a Voting Member, eligible to attend and vote at WCSFA General Meetings. Every member age 18 or older are also eligible to run for election to the WCSFA Board of Directors. WCSFA memberships expire a year after the last day of the event for or at which it was purchased.

Current WCSFA members are also eligible for a $5 discount at other membership supported WCSFA events (like VCON or Northwest Fan Fest).

Is my registration transferrable?

Yes, VCON registration (and the memberships associated with them) are transferable (that is, you can give or sell them to someone else if you will not be able to attend).

To transfer your registration to someone else prior to the end of online membership sales (Noon, October 27, 2017), send an email to the VCON Registration at registration@vcon.ca with the full name and email address of both the person who originally registered and the person it should be transferred to. The Secretary will follow up with both of you to update the registration record with other information.

After online registration has closed, to transfer your registration you must provide the person you want to transfer it to with a signed note that includes the full name and email address of both yourself and the person it should be transferred to. This note must be brought, along with valid ID, to the VCON registration desk where the registration information will be updated and a badge will be created for them.

Can I update my registration information?

Yes. Send an email to the WCSFA Secretary at registration@vcon.ca with your full name and the email address used to register the membership to request changes.

Do I have to bring my printed ticket to the event?

No, physical tickets are not issued and are not required for this event. Instead, just show up at the Pre-Registration Pickup desk and present valid photo ID to claim your membership badge.

The Pre-Registration Pickup desk should be open during the following hours:

SAT: 9:30A - 8:00P
SUN: 9:30A - 2:00P

Outside of these hours, you will be able to pick up your membership badge from the convention's Operations Room. (Directions to its location will be provided at the venue.)

What is the refund policy?

Because each purchased membership represents a commitment to support the operation of the event, memberships are not refundable. However, they are transferable (that is, you can give or sell your membership to someone else if you can't attend the event). See the answer to the "Is my registration transferrable?"
