Event Details

The Nova Scotia Health Authority (NSHA) Cancer Care Program and the Nova Scotia Hospice Palliative Care Association (NSHPCA) are collaborating to offer the Spring Provincial Cancer Network (PCN) Meeting and the NSHPCA Annual Conference as sequential meetings in May 2019.

 

As part of their registration for PCN, NSHA Cancer Care Program physicians and staff are able to attend the NSHPCA Conference on Thursday, May 2 from 12pm - 4:30pm at no charge.

 

The Friday, May 3 NSHPCA session will be offered to NSHA Cancer Care Program staff at a reduced rate of $125. The usual process for approval to attend education events applies. Please ensure you have your manager’s approval before registering for the PCN and/or the NSHPCA Conference. See attached agenda for the full three-day PCN and NSHPCA conference schedule.

Please complete the session registration(s) on or before April 10, 2019.

To register, choose a date from the "Select a Date" box. After selecting a date, select the ticket(s) for the dates you would like to attend, select "Register". You will then be redirected to a page where you must input your information to complete your registration. Once your registration is completed, you will receive a confirmation email.

Breaks and Meals


Meals are provided at the sessions as noted.

For those participants travelling to attend the sessions, Nova Scotia Cancer Care Program will cover the following additional meal costs up to the NSHA per diem rate listed in the NSHA Travel Policy AD-FIN-005:

  • Up to $20.00 for supper on Wednesday, May 1, 2019 and Thursday, May 2, 2019

NOTE: Expenses will only be covered for NSHA Cancer Care Program  staff and physicians. All other attendee should seek pre-approval for associated expenses with their manager. Original itemized receipts are required to be submitted with the expense form; debit and credit card slips will NOT be accepted. No expenses will be processed without the applicable supporting documentation attached.

 

Hotel


A block of rooms has been set aside at the Atlantica Hotel Halifax for the nights of Tuesday, April 30, 2019 and Wednesday, May 1, 2019, with check out no later than Thursday, May 2, 2019.

Those wishing to stay on to attend  the Nova Scotia Hospice Palliative Care Association Sessions on May 3rd can mention this at the time of booking to receive the reduced rate. 

All attendees are responsible for making their own hotel arrangements by contacting the hotel at 1-888-810-7288, or email at reservations@atlanticahalifax.com.

Attendees must identify that they are with the Nova Scotia Health Authority Cancer Care Program (PCN Meeting) to receive the special rate. Cut off date for room booking is March 22, 2019.

NSHA Cancer Care Program will cover hotel room costs for NSHA Cancer Care Program staff and physicians. All other attendees should seek pre-approval for associated expenses with their manager (Traditional Room at the approved rate of $115.00 plus applicable taxes per night) for confirmed.

NOTE: Individuals will be responsible for any hotel incidentals incurred, as well as guarantee no-show reservations. The delegate with a guaranteed reservation and who has not registered will be charged 100% of the guestroom rate plus tax for the first night of the reservation.

 

Parking


Self-parking is available at the hotel, subject to availability, and will be covered by NSHA Cancer Care Program for all NSHA Cancer Care Program staff and physicians.. There is limited pay and display parking is available near the Studley Field, entrance off South Street and hourly parking is available at the IWK, entrance off University Ave.

As parking around the meeting location is limited, NSHA Cancer Care Program would like to encourage walking/cab sharing from the hotel to the venue.

 

Meeting Location


All sessions for the Spring Provincial Cancer Network (PCN) Meeting will be held at the Dalhousie Student Union Building (SUB) - 6136 University Ave., Halifax, NS B3H 4R2

The distance from the Atlantica Hotel Halifax to the venue at the Dal SUB is 1.3 kilometres. There is limited pay and display parking around the venue near the Studley Field, entrance off South Street and hourly parking is available at the IWK, entrance off University Ave. NSHA Cancer Care Program would like to encourage walking/cab sharing from the hotel to the venue.

The NSHA shuttle is also available for transportation from the HI site to the VG site. The venue is less than 1 km from the shuttle drop off point at the MacKenzie Building.

We encourage all attendees to dress comfortably as conference days are long.

We try to regulate the temperature in the room to be comfortable for all, however, as meeting room temperatures may fluctuate, we recommend you bring a sweater or fleece for an additional layer.

 

Expense Information


Expenses will only be covered for NSHA Cancer Care Program staff and physicians. All other attendees should seek pre-approval for associated expenses with their manager. For those NSHA Cancer Care Program employees travelling from other zones in Nova Scotia to Halifax to attend the PCN, expenses will be processed in accordance with NSHA Travel Policy AD-FIN-005.

The NSHA Travel Expense Claim Form must be completed and submitted within 14 days (May 15, 2019) following the close of the Spring PCN. Reminder that itemized receipts (even if you are claiming the periderm rate) are required as supporting documentation for all expenses submitted for reimbursement. Debit and credit card slips will NOT be accepted. NSHA expense claim forms can be found on the Resources page on the NSHA intranet.

NSHA Cancer Care Program is not responsible for expenses for attendees who are not NSHA Cancer Care Program employees. All submitted expense claims are subject to approval.
